Introduction
This topic describes the requirements for passwords and how often they must be changed.
How frequently must a password be changed
To protect user accounts, each user must change their password every 12 months. When your password is nearing the 12 month expiry, you will be prompted to change it when you log in.
If you fail to change your password before the 12 month expiry is reached, your account will become locked.
Changing your password manually
To change your password manually:
- Go to the My Account -> Change Password screen
- Enter your Old Password
- Enter your New Password
- Enter your New Password a second time to into the Confirm New Password field
- Click the Save Changes button
Forgotten passwords
If you have forgotten your password, you can reset it yourself by:
- Going to the Login screen
- Click the Forgot Password? link below the Login button
- Enter your Email Address
- Click the Reset Password button
- You will be emailed a unique link which take you to a password reset screen
NOTE: The link that is emailed to you is only valid for 72 hours. If the 72 hour period has passed, the link will no longer be valid and you will need to complete the above process again.
NOTE: You should only use the password reset link once. If you follow the link more than once, you may accidentally lock your account.
Locked accounts
An account may become locked if either of the following scenarios occur:
- Your password has not been changed within the last 12 months
- You have typed your password incorrectly too many times
- You have followed a password reset link several times after it has already been used to change your password
A locked account can only be unlocked by an administrator on an account. If you are the administrator of an account, another administrator can unlock your account for you. If there are no other administrators on the account, you should contact Ready pay (powered by Aussiepay) for assistance.
Resetting users passwords (for administrators)
To reset an employee’s account using the Employees screen:
- Go to the Employees screen using the menu
- Use the search filters or the page navigation links at the bottom of the screen to find the employee if required
- Hover your mouse cursor over the Edit button to the left of the employee’s name
- Select the Personal Details menu item from the fly out menu
- Place a tick in the Reset password and send in an e-mail message to the Employee tick box
- Click the Save Changes button
- The employee will be emailed a unique link which will take them to a password reset screen
To reset an employee’s account or an authority account using the People screen:
- Go to the Administration -> People screen using the menu
- Use the search filters or the page navigation links at the bottom of the screen to find the employee or authority if required
- Hover your mouse cursor over the Edit button to the left of the name of the person whose password you want to reset
- Select the Personal Details menu item from the fly out menu
- Place a tick in the Send Login Credentials Reminder via Email tick box
- Click the Save Changes button
- The employee or authority will be emailed a unique link which will take them to a password reset screen
NOTE: The link that is emailed is only valid for 72 hours. If the 72 hour period has password, the link will no longer be valid and you will need to complete the above process again.
NOTE: The password reset link should only be used once. If you follow the link more than once, the account that the link relates to may become locked.
