Audit Reporting

Introduction

This topic describes how to run reports in the Documents module.

The documents module keeps on audit trail of who uploaded, deleted and viewed each document. It also records the date and time of each action and the IP address of the computer that was used to perform the action.

Running an Audit Report on Employee Documents

To run an audit report on employee documents:

  1. Go to the On-Demand Docs -> Audit Report screen
  2. Scroll to the Employee Document Audit Report section
  3. Update the From and To dates for the period you want to report on
  4. If you want to limit the report to a particular document field, select the document field from the Field Name dropdown list
  5. If you want to limit the report to a particular action (i.e. Add, Delete, View), select the desired action from the Action dropdown list
  6. Select the user who you are auditing from the Performed By dropdown
  7. If you want to limit the report to documents related to a particular employee, select the employee from the Employee Name dropdown list
  8. Click the Display Employee Audit Report button

The results will be displayed on screen including the following fields:

  • Date and Time: The date and time when the action occurred
  • Field Name: The name of the document field
  • File Name: The name of the related file
  • Employee Name: The name of the employee who the file related to
  • Action: The type of action that occurred
  • Performed By: The user who performed the action
  • IP Address: The IP address of the computer that was used to perform the action

Running an Audit Report on Company Documents

To run an audit report on company documents:

  1. Go to the On-Demand Docs -> Audit Report screen
  2. Scroll to the Employee Document Audit Report section
  3. Update the From and To dates for the period you want to report on
  4. If you want to limit the report to a particular document field, select the document field from the Field Name dropdown list
  5. If you want to limit the report to a particular action (i.e. Add, Delete, View), select the desired action from the Action dropdown list
  6. Select the user who you are auditing from the Performed By dropdown
  7. Click the Display Company Wide Audit Report button

The results will be displayed on screen including the following fields:

  • Date and Time: The date and time when the action occurred
  • Field Name: The name of the document field
  • File Name: The name of the related file
  • Action: The type of action that occurred
  • Performed By: The user who performed the action
  • IP Address: The IP address of the computer that was used to perform the action
