Introduction
This topic describes how a Leave Approver can action a leave request.
Leave Application Statuses
A leave application can have the following statuses:
Status | Description |
---|---|
Processing | The leave application is awaiting approval |
Cancelled | The leave application has been cancelled |
Declined | The leave approver/administrator has declined the leave application |
Accepted | The leave approver/administrator has approved the leave application, but it has not yet been scheduled for payment |
Paid | The leave application has been scheduled for payment and copied into the input sheet |
On Hold | The leave approver/administrator has placed the leave application on hold temporarily |
Reviewing a Leave Application
To review a leave application:
- Go to the Leave/Expense -> Home screen
- The Leave Applications section will show all Processing and Approved leave applications for employees who report to the approver

Click the Edit button to the left of the application that you would like to action
NOTE: You can also Approve the application without opeing it by using the Approve button that is visible on the Leave Home screen for Leave Application that are assigned to you for Approval.
- Update the Last day at Work and First Day Back to Work fields if required

Add any Comments if you want to
NOTE: Any comments that you add will be visible to the employee.
- Update the Hours Applied field if required
- Review any comments that the employee added to the application by viewing the Audit Trail
Approving a Leave Application
To approve a Leave Application:
- Follow the above instructions to review the Leave Application
- Click the Approve Application button ar the top of bottom of the screen
The Leave Application status will be updated to Approved. The employee will recieve an email to notify them that the Leave Application has been approved.
Declining a Leave Application
To decline a Leave Application:
- Follow the above instructions to review the Leave Application
- Click the Decline Application button at the top or bottom of the screen
The Leave Application status will be updated to Declined. The employee will recieve an email to notify them that the Leave Application has been declined.
Cancel a Leave Application
To cancel a Leave Application:
- Follow the above instructions to review the Leave Application
- Click the Cancel Application button at the top or bottom of the screen
The Leave Application status will be updated to Cancelled. The employee will recieve an email to notify them that the Leave Application has been cancelled.
Saving changes to a Leave Application
To save changes to a Leave Application without taking any other action on the Leave Application:
- Follow the above instructions to review the Leave Application
- Click the Save changes button at the top or bottom of the screen
The Leave Application status will not be changed, so you will still need to take action on the Leave Application.
Holding a Leave Application
When an approver or leave administrator does not wish to approve or decline a leave application straight away, they can place the leave application on hold to avoid it escalating to another approver.
The application can only be placed on hold where the leave start date is greater than the escalation days plus 5 days from the current date.
To hold a Leave Application:
- Follow the above instructions to review the Leave Application
- Click the Hold Application button at the top or bottom of the screen
The Leave Application status will be updated to On Hold. The employee will recieve an email to notify them that the Leave Application has been placed on hold.
Retrieving a Leave Application from Hold
A held Leave Application will be automatically return to a status of Processing before the Leave Application is due to start.
To action a Leave Application that is on hold:
- Go to the Leave/Expense -> Home screen
- The Leave Applications section will show all Processing and Approved leave applications for employees who report to the approver
- Update the Status dropdown to show On Hold Leave Applications
- Click the Search button
- Click the Edit button to the left of the Leave Application that you want to un-hold
- Take action on the Leave Application
